Do you have a corporate data retention policy?

Photo of belongings from the last day on the job. When employee "John Doe" leaves your company, his office badges, company credit cards, parking permits, and other important company property are returned to you. But what should you do with his computer?

What if in one month, ten months, or even two years, John claims that the circumstances surrounding his departure were improper?

Or what if another of your employees or another company later claims that John took part in harassment, or trafficking of child pornography ... and also that your company knew about it and should be held responsible?

Far fetched? Not in the least! But you can take reasonable steps to protect your company and your reputation.

DATAMINE FORENSICS uses court approved methods to extract an exact image of a departing employee's hard drive, providing you with a detailed account of John Does' activities. This forensically sound image is then held, along with detailed logs to establish and maintain a chain of custody.

John Doe's computer may now be erased (wiped) and assigned to a new employee.

In the majority of cases, this is all that is required. The hard drive image simply remains in a secure vault for an agreed-upon length of time.

However, if the data becomes an issue in a lawsuit, the information can be forensically analyzed and extracted. This data enables you to be absolutely certain about the role John Doe played in the dispute, and about his interactions with others during his tenure.

The benefits of a corporate data retention policy:

  • Removes the uncertainty about data left behind by former employees, and eliminates the need to quarantine employee computers.

  • Companies that take a proactive stance to protect their data are less likely to be targeted in fraudulent lawsuits.

  • Reduces questionable employee behavior because behavior patterns with their corresponding timelines are accurately logged.

  • New employees are protected from spurious claims that illegal computer activities originated from them.

  • You will be able to end fraudulent lawsuits quickly with cases built on the basis of having 100% of the related data at your disposal.
